- ## Surgery hours as a template

You set morning and afternoon blocks, surgery days and preparation time once. Every new week is built from them.

- ## Reception and assistance covered

You define how many people with which qualification should be there when. Only someone with the qualification is scheduled.

- ## Leave through the app

Leave requests and absences come in through the employee app, with deadlines you set. The schedule takes them into account automatically.

## What makes a practice schedule different

Doctors’ practices (Ordinationen) work with fixed surgery hours, often split into morning and afternoon, and with small teams in which every absence counts. Reception and assistance must be covered during every surgery session, many employees work part-time, and leave has to be spread so the practice can stay open.

Whoever keeps the schedule in a spreadsheet has to recalculate with every change: Who can cover reception if someone is ill? Do the hours still match the contract? Is assistance double-booked on Thursday afternoon and missing on Friday morning?

## How your practice’s schedule comes together

1. **Create a template.** Surgery hours, shifts per area and the staffing needed for each period.
2. **Add your team.** Contracts with weekly hours, qualifications, day patterns and absences.
3. **Optimise.** One click, and the optimiser builds the schedule. You see every remaining rule violation and can compare them with an earlier state.
4. **Publish.** One click publishes the schedule in the app; optionally it also goes as a PDF by e-mail to chosen recipients. If you like, a screen at reception shows who is in today.

## Collective agreement per federal state

The collective agreements for employees of doctors differ by federal state. In Vienna, normal working time is 40 hours; the working day starts no earlier than 6 am and ends no later than 10 pm (2 pm on Saturdays), and at most 9 hours of normal working time are allowed on a working day, except with an agreed four-day week. In Tyrol the working day should start no earlier than 7 am and end no later than 8 pm. We agree the rules that apply to your practice with you during onboarding. What the law requires of every schedule is explained in our guide [Staff scheduling in Austria](https://eutempus.at/en/staff-scheduling/).

## Maternity protection and part-time work

Expectant and breastfeeding mothers are subject to strict limits: not beyond daily normal working time and never more than 9 hours a day or 40 a week, generally no work between 8 pm and 6 am and no Sunday or public-holiday work. eutempus limits working time automatically to 9 hours a day and 40 a week during the recorded period; more on the rules in the guide [Maternity protection in the schedule](https://eutempus.at/en/staff-scheduling/maternity-protection/).

## What eutempus checks automatically

- ### Qualification per shift

Reception, assistance or lab: only someone with the qualification the shift requires is scheduled.

- ### Minimum staffing

Minimum staffing per time window takes priority over every preference. If it cannot be reached, the schedule shows the gap.

- ### Leave, sick leave, availability

eutempus takes leave, sick leave and the times someone is available into account in every assignment.

- ### Day patterns and availability

Day patterns such as "mornings only" or "day off" feed in as soft rules; unavailability is a hard rule.

- ### At most 12 hours a day

The absolute daily limit of the Working Time Act (Arbeitszeitgesetz), for everyone.

- ### [Rest between two shifts →](https://eutempus.at/en/staff-scheduling/working-hours-rest-periods/)

eutempus flags less than 11 hours between two shifts within the schedule as a rule violation.

- ### [Maternity protection →](https://eutempus.at/en/staff-scheduling/maternity-protection/)

At most 9 hours a day and 40 a week during the recorded period.

## Frequently asked questions

Can eutempus plan shifts with a long lunch break?

Yes. A shift with a morning and an afternoon block is one shift with a break in between in eutempus. The break does not count as working time.

Which collective agreement applies to practice staff?

There is no nationwide collective agreement for employees of doctors; it is concluded per federal state between the medical chamber and the GPA union. Employees of dentists have a nationwide collective agreement. We agree the rules of your collective agreement with you during onboarding.

Is eutempus worth it for a single practice?

Yes, as soon as the schedule takes more than a few hours a week or part-time work, holiday cover and maternity protection make it complicated. A single practice is also the quickest to set up.

Does it work for several locations?

Yes. Practices or locations that share staff are planned together by eutempus: nobody is booked twice, and travel time between two locations on the same day is taken into account.
